OFFICE ASSISTANT H/F
Votre mission :
r />Reporting (primarily) to the Executive PA/Office Manager, responsible for ensuring the smooth running of the office, the Office Assistant is responsible for the day to day running of the office and for the management of all premises related issues in conjunction with the Executive PA/Office Manager. It is a varied position, requiring social skills as well as a very pragmatic mindset.
Office Management
In conjunction with and under supervision of Executive PA/Office Manager, responsible for overall technical running of the office including facilities, including :
• Ordering technical equipment
• Food and drink
Responsibility for all aspects of office administration i.e.
• Manage the reception desk
• Booking conference rooms
• Updating staff's agendas on a weekly basis
• Organizing the weekly internal staff meeting
• Updating the general database
• Ordering stationery
• Booking couriers
• Arranging taxis
• Booking flights and accommodation
• Issuing cheques & validating their payment
• Tidy up the workplace whenever necessary
Client Responsibilities
• Events management / on-site support as needed and management of logistics of company and client events as well as organizing and production of communication materials
• Liaison with APCO staff from other offices
Events Management
• Sourcing and booking venues (when required)
• Arranging travel and accommodation
• Listings
• Sending mailings
• Telephone follow-up
OFFICE ENVIRONMENT : The physical abilities needed to perform the duties of this position, in addition to the office climate.
